AI and responsibility

Is the work really prepared and reviewed by AI?

Yes. AI prepares the work and AI then reviews it. No person at AnnualsAI prepares, reviews or approves the work. A person from our team is involved only when you sign up: to get your access in place, set the AI up to your firm's policies, and fix anything that is not working the way you want. After that, no person is involved in the day-to-day work, and no person prepares, reviews or signs off your work. We say this openly.

How accurate is the AI?

Every job goes through an AI review before delivery. But AI can make mistakes. It can misread a document or apply the wrong treatment. That is why your firm must review every job before it is used.

Who is responsible for the work?

Your firm is. Your accountant reviews the work and is responsible for it before it goes to your client, to IRD or to the ATO. In Australia, your firm's registered tax agent or BAS agent remains responsible for anything lodged with the ATO. See our AI disclosure.

Do you file or lodge returns?

No. We never file or lodge anything with IRD or the ATO. Your firm does that after its review.

Will you contact our clients?

No. We never contact or approach your clients. We work only with your firm.

Communication

How do you ask us for missing information?

By email. If we need missing information or have a query, we email you. Each of your clients gets their own dedicated email address with us. Reply to that address, and your answer goes straight to the right job.

Can we call you or message you?

No. We work by email only. You email us, and we reply by email. We do not take phone calls or use WhatsApp or other messaging apps. Keeping everything in writing is how we keep our prices low, and it gives you a clear record of every job. Our emails are handled by AI.

Data and security

How do you keep our data secure?

We work inside your portal and do not store your data on our own servers, PCs or laptops. We use only the access your firm gives us, and only for your jobs. You can remove our access to your software and storage at any time. Read more on our Privacy and security page.

Where is our data stored and processed?

Your data stays in your own software and storage. To prepare and review each job, the information needed is sent to our AI provider for processing. The provider may be overseas, and it may keep the information for a limited time under its own terms. We take reasonable steps to make sure it is protected in a way comparable to New Zealand and Australian privacy law.

Do you keep our data?

We work inside your portal, and the finished work is saved there. We do not store your data on our own servers, PCs or laptops. The information needed for each job is sent to our AI provider for processing. Your records and the finished work stay in your portal, under your control. Once you remove our access, we can no longer see it.

Software, access and delivery

Can you follow our firm's policies and templates?

Yes. When you sign up, send us your firm's policies and preferences, such as your workpaper layout, report templates, materiality and coding rules. A person from our team uses these to set up the AI for your firm. If something is not working the way you want, tell us by email and we adjust it.

Which software do you work with?

Accounting software such as Xero, MYOB, QuickBooks Online and Reckon. Practice and tax systems such as Xero Practice Manager, Xero Tax, MYOB Practice, CCH iFirm, APS and HandiSoft. Job management tools such as Karbon, FYI and Ignition. See the full list on our Services page.

If your software is not listed, save exports such as a trial balance and reports in your shared storage, and we work from those.

Which file storage do you work with?

Dropbox, Google Drive, SharePoint, Xero files and others. We work where your documents are already kept.

How do we give you access?

The same way you would for a new staff accountant. Give us the same information and create a user for us in:

  • your accounting software
  • the storage where the client's documents are kept
  • your practice or job management system, if you use one (for example XPM, Karbon or FYI)

You control that user and can remove it at any time. We send you simple instructions with your quote.

What format do you deliver in?

Any format you prefer. For example, inside your software (such as Xero Workpapers), a PDF pack, Excel workings, or saved to your own storage.

Our client keeps paper records. Can you work with them?

Yes. Scan the client's manual cash books, invoices and receipts, and save them in your shared storage. We process them.

Do you need access to IRD or the ATO?

We need the client's tax information. Give us access to your IRD or ATO online services, the same as you would for a staff member. Or send us the information we need, such as tax account statements and last year's return. We only read this information. We never file or lodge anything.

Do we need to learn or run any software?

No. There is nothing to install or learn. You keep using your own systems.

Turnaround

When do the 5 days start?

For annual accounts, we deliver within 5 days of receiving everything we need. These are calendar days, including weekends and public holidays. Our AI works day and night, seven days a week. The clock starts once we have the access, records and answers needed to complete the job. If anything is missing, we tell you straight away.

If we need to ask you a question during the job, the clock stops when we send the question. It starts again when we receive your answer.

What about GST returns, BAS and bookkeeping?

We confirm the turnaround for these in your quote.

Price and payment

What if we are not happy with the work?

Email us and tell us what needs to change. Send any extra information you want us to use. We fix it at no extra charge.

What does the free first job include?

Every new firm gets one job free. It covers one entity of any type, such as a company, trust, partnership or sole trader. It is the full service, so you can judge the quality.

How much does it cost?

Price is on enquiry. It depends on the type and volume of work. Quotes are in NZD for New Zealand firms and AUD for Australian firms. See Pricing.

How do we pay?

We invoice per job. There is no subscription.

New Zealand and Australia

What is different between New Zealand and Australia?

New Zealand: we prepare IR3, IR4, IR6 and IR7 returns (including look-through companies) and GST returns, ready for your firm to file with IRD.

Australia: we prepare company, individual and sole trader, partnership and trust returns for the year ending 30 June, and BAS. They are ready for your firm's registered tax or BAS agent to review and lodge with the ATO.

Can one firm send both NZ and Australian jobs?

Yes. Tell us which country each job is for, and we prepare it under the right rules.
